Payment Terms, Policies & Procedures
All financial commitments for STEM Familia Fest 2026 are final. Complete payment is required to receive the value outlined. Upon receipt of the signed commitment form, an invoice will be sent to the billing contact with online payment options through a secure portal. A signed commitment form is a guarantee to pay and all invoices sent to the billing contact will require payment.
- All outstanding invoices must be paid by October 2, 2026, to guarantee inclusion in exhibitor listings.
- Payments received after October 2, 2026 are subject to a 25% late fee.
- Organizations with unpaid invoices by October 2, 2026 will not be permitted to participate.
- No refunds will be provided for any reason.
- All commitment forms received after July 24, 2026 are considered final, and payment will be due regardless of the exhibitor’s decision to participate.
- Exhibitor registrations provide access to STEM Familia Fest only on Saturday, October 31, 2026. They do not include access to the SHPE National Convention or any other Convention programming, events, or ticketed functions.
- Organizations with unpaid balances will not be able to register their representatives until payment is posted.
Exhibitor shall be solely responsible for any necessary equipment and connections from their own systems. Exhibitor agrees to indemnify, defend, and hold harmless SHPE and its agents from any claims arising from participation. SHPE makes no warranties, express or implied, regarding any aspect of STEM Familia Fest.
SHPE reserves full editorial control over all marketing and promotional materials related to STEM Familia Fest. Exhibitors will not have the right to review, edit, or approve SHPE’s marketing content where they are mentioned.
To the maximum extent permitted by law, SHPE is not liable for loss or damage arising out of or in connection with this agreement or the event, including loss of business, contracts, profits, anticipated savings, goodwill, or revenue; loss or corruption of data; and incidental, indirect, special, punitive, exemplary, or consequential damages. The aggregate liability of SHPE (if any) shall not exceed fees paid by the exhibitor under this agreement.
